COVID-19: Helping you prepare for re-opening

To all Prime customers

I hope you are all well and keeping safe. We are now approaching the time when many of you will be planning for when you can re-open your sites so I wanted to get in touch to remind you how we can help you here at Prime Systems. Our team have continued to work over the last couple of months, and I wanted to make sure you all knew we were here to help you prepare for re-opening. There are a few things you can be thinking about, which are explained below, and as always we are here to answer any questions you have.

Incident Reporting – Social Distancing Issues

Some of our customers who are still operating or have recently opened have experienced operational difficulties with implementing social distancing measures, such as aggression towards staff or people deliberately flouting the control measures and impacting other customers. To help you get a better understanding on where these issues are happening and why, you can create new Incident Types that put these incidents into categories that you can analyse and have email notifications sent automatically when certain incidents are reported. We have seen some of our customers immediately benefit from this as it is real time information that can be actioned on to improve the environment for staff and customers.

Incident Reporting – Illness Symptoms

Most of you already have an Incident Type of “Illness”, but some of our customers have already asked us to set up new Incident Types such as “COVID-19” or “Suspected Virus”. When your sites re-open there will be even more of a focus on spotting and reporting symptoms quickly and our system will allow this to be reported easily. Email alerts are sent to the relevant people in your organisation to inform them immediately. Our standard reporting and analysis functions will allow you to report on these incidents and provide you with detailed management information. On all incident types, there is a tab called “Affected Persons” where you can record details of people affected, illnesses and symptoms.

Compliance Monitoring – Preparing to Re-open

If you use this application in Prime, don’t forget it’s easy for us to set up new checks for your sites to complete.  Preparing to re-open your sites will involve a range of checks to ensure the appropriate measures are in place to meet social distancing rules and staff welfare. By having checks added, even on a temporary basis, you can make sure your sites know what they should be doing, and you can see that they are doing it.

Compliance Monitoring – Restricted Operations

It may be that when your sites do re-open, it will be under restricted operations. Now is the time to review the checks that you had in place before lockdown to check that they are still relevant in the post-lockdown era, or need to be reduced or changed. We are here to help with that so if you want us to send you a summary of the checks you have in the system for you to review, we are happy to do that.

The team are working from our homes but we are able to do so with no restrictions on how we operate and communicate. The support number 01494 778877 is manned 9.00am to 5.30pm Monday to Friday, any calls outside of these hours go to a message service, and your message is then emailed to the Help Desk for action.
