New rules on Visitor Tracker System to support NHS Test and Trace

You will no doubt have seen yesterday’s Government announcement regarding the Test & Trace process. As is already the case in Scotland and Wales, track and trace will become a legal requirement in England from 18 September. These requirements make it mandatory for certain businesses, including the hospitality, tourism and leisure sectors and local authority run services, to have a system to collect visitor details and retain them for 21 days.

If you don’t already have a good system in place then I wanted to remind you of our Visitor Tracker application that we launched in July to allow our Prime customers to capture their visitor details. The system is explained further below, please let us know if you would like further information or would like to have a look at our demo system.

If there is anything else we can do for you to help you manage the new requirements and safety measures that you need to have in place, again please let us know. Many of our customers have added COVID Secure checks to their Compliance Monitoring systems, and COVID related Incidents to their Accident & Incident Reporting systems so if you still need to do that please just ask.

Here’s a detailed reminder of how the Visitor Tracker application works

The new Visitor Tracker application we have developed will help you easily catch the data you need to comply with the Government requirements to support the NHS Test and Trace programme. The purpose is to ensure you can easily capture and securely store details of all visitors to your site and on-site facilities.

The application can be used online by all visitors to site through a url, or website link. You can make the system available to your visitors through direct communication, website or other visitor portals. It will also be available to Prime users who will be able to log visits on behalf of your customers and view visit details for their site and retrieve visitor details.

Although simple, the application can be used in a variety of ways;

  • To keep track of when visitors are on site – they can sign in online in advance and record the duration of their visit
  • Your reception team members can enter the details during check in on behalf of other visitors and customers
  • You and your team will be able to easily search the system and retrieve details of any visitor
  • Data will be held securely for 21 days
  • The application can be extended to be used at venues such as restaurants to record who has visited and may therefore have come in to contact with someone who has tested positive for Coronavirus

The system is very simple to use, capturing name, contact and address details and users can record more than one individual visitor at a time in a quick and easy way.

The cost of this new application depends on the size of your operation. The cost includes full and unlimited use of the system for the rest of this year, and depending on how requirements change over the rest of this year we will move to a monthly subscription pricing model in 2021.

Cost Bands are;

Single Site £450
10 sites or less £950
More than 10 sites £1,250

For companies who don’t already use Prime there will also be a small set up fee, but this is waived for all existing Prime customers.
